house policies

  1. In order to secure space, setup and technical need requests must be submitted 5 working days in advance to allow adequate time to schedule the facility/room(s).
  2. Registered Student Organizations and University Departments are not able to reserve space for other organizations for the purpose of lower rates or to extend limitations for reservations as outlined in this document. The organization or individual who holds the reservation must be primarily responsible for planning, implementing, and financing the event.
  3. Kirby Student Center staff will have access to all facilities/rooms at any and all times.
  4. Kirby Student Center reserves the right to cancel an event should the event be deemed not in the best interest of the University. Any deposit made shall be refunded in the event of such a cancellation.
  5. All properties are to be accounted for and left in the condition found upon entering the room. Extra property is to be removed from the premises immediately after the event unless prior arrangements have been made with the KSC Events & Conferences office. Kirby Student Center is not responsible for personal items, either lost or left in the room(s).
  6. Furnishings are not to be changed/moved unless prior arrangements have been granted by the Kirby Student Center. If prior arrangements are approved, furnishings must be replaced as directed at the expense of the party requesting the change. Damage occurring in a room or loss of equipment during facility use will be charged to the group responsible for the reservation.
  7. Nothing may be hung, pasted, or affixed in any manner to the facility walls, doors, windows, or floors. Whiteboards and easels will be provided upon request at no charge. Candles, incense or other flammable items may not be burned in any of the Kirby Student Center facilities.
  8. All student groups planning a food based fundraiser, or event where food is provided, must contact Kirby Student Center’s Student Activities Office (KSC 115 or 218-726-7169). A DEHS food permit may be required. Student fundraising activities are possible if certain preparation and service standards are met. Student groups will be guided through the food permit process.
  9. Security for the event may be required by the Kirby Student Center. If it is determined that security is necessary, KSC will make arrangements and the reserving department/group will be asked to provide an EFS number or billing information for these charges.
  10. If liability insurance is required, certificate of insurance shall be provided by the requesting organization and filed with the KSC Events & Conferences office. Please confer with the Event Coordinator for more information about insurance and to see if insurance is required for your specific event.
  11. Permission to serve alcoholic beverages requires a separate permit approved fifteen (15) days prior to the scheduled event. The permit approval form is available in the KSC Events & Conferences office. Contact the office for additional information.
  12. Smoking is prohibited on all UMD property. The smoking ban includes indoor facilities, campus grounds, as well as all University vehicles.
